Job Purpose

  • Support an allocated team with administrative tasks.
  • Improve office organization and daily workflow.

Key Responsibilities

Office Administration

  • Handle inquiries and schedule appointments.
  • Prepare and type documents, reports, and letters.
  • Organize meetings and take minutes.
  • Book rooms and conference facilities.
  • Arrange travel and accommodation for staff.
  • Order and manage office supplies.
  • Organize and store paperwork and digital files.

Customer and Staff Support

  • Greet and assist visitors, clients, and employees.
  • Answer phone calls, take messages, and transfer calls.
  • Communicate with internal and external contacts.
  • Manage mail distribution and document handling.

Data Management and Reporting

  • Capture and maintain records in a standardized format.
  • Track and reconcile department expenses.
  • Keep an updated record of invoices and office expenditures.
  • File and sort documents for quick retrieval.

Requirements

Education

  • National Senior Certificate (Matric) or N3 qualification

Experience

  • At least one year of relevant administrative experience
